Print-Ready PDFs: Common Formatting Issues Before You Print

A PDF that looks perfectly normal on screen can come out of the printer with the edges cut off, a few pages sideways, or margins that vary from page to page. If you don't check for these before printing, you usually only find out after the fact — wasted paper and time.

Issue 1: inconsistent page sizes

If a PDF was assembled from multiple sources (pages from several different files merged together), it's easy to end up with some pages at A4 and others at Letter size mixed in the same document. When a printer applies uniform settings, the mismatched pages can scale oddly or leave uneven margins.

Issue 2: inconsistent page orientation

A few landscape pages (a wide table, say) tucked into an otherwise portrait document can get squeezed into portrait proportions or partly cropped if the print settings don't adjust per-page orientation.

Issue 3: content too close to the page edge

Printers typically have a small "non-printable margin" around the edge — if text or images sit too close to the page boundary, they can get clipped in the physical printout. This is invisible on screen, since screen display doesn't simulate a printer's margin limits.

Issue 4: colors shift noticeably after printing

Screens use emissive RGB color, printers use absorptive CMYK ink — the same file will look different across the two, especially with saturated neon colors or pure black backgrounds, which often print darker or off-hue than they appear on screen.

A pre-print checklist

1. Flip through every page and confirm size and orientation are consistent
2. Check whether important content (text, a logo) sits too close to the page edge
3. If color accuracy matters, do a small test print on one page first
4. Double-check the page order is correct, especially right after reordering pages
